This guide is for small business owners, solo marketers and anyone who runs a Facebook Page and an Instagram account without a dedicated social media team. It explains how to plan and schedule posts with Meta Business Suite, which Meta describes as free to use, and how to turn that into a simple weekly routine. Product details come from Meta’s own Business Help Center pages, listed at the end.

What Meta Business Suite is, and what the Planner does
According to Meta’s Help Center, Meta Business Suite helps small businesses and creators manage their presence across Meta technologies such as Facebook, Instagram, Threads and WhatsApp. It is free to use on desktop and in the Meta Business Suite mobile app. To use it, your business needs a business portfolio: a container that holds assets such as a Facebook Page, an Instagram account and an ad account, plus the people who have access to them.
Meta’s best-practices article refers to the content calendar as “the Planner in Meta Business Suite”. Its overview page describes the same area as planning your content calendar and seeing scheduled content in the calendar view. In other words, the names “Planner”, “calendar view” and “content calendar” all point to the same feature. Menu labels and layouts change from time to time, so treat the names in this article as a guide and check what you see on screen.
Per Meta, the Planner can be used to plan organic and paid content such as posts, stories, reels and ads across Facebook and Instagram. Once content is scheduled you can see it in a weekly or monthly view. You can publish to Facebook, Instagram or both, and you can also schedule a time to go live.

What you need before you start
- A business portfolio that contains your Facebook Page and, if you want to post there, your Instagram account.
- The right access. Your role in the business portfolio must allow you to create content for the Page or Instagram account; if you are not the owner, ask an admin to check your permissions.
- Your assets ready: photos, captions and any hashtags or location you plan to add.
How to schedule a post on desktop
The steps below follow Meta’s help article on creating and managing posts in Meta Business Suite on desktop.
- Go to Meta Business Suite and click Create post. You can do this from the home page or from the Content tab.
- Under Post to, choose where it should go, such as your Facebook Page, your Instagram profile or a Facebook Group.
- Under Media, add your photos. Meta notes that the limit for posting to Instagram is 10 photos.
- Under Post details, write your text. You can customize the text for Facebook and Instagram, and add hashtags, a location or other options with the icons below the text box.
- Choose an audience under privacy settings (Public or Restricted).
- Under Scheduling options, select the date and time you want the post to publish. Clicking Active times shows recommended times based on when followers were most active on Facebook and Instagram over the past 7 days.
- Click Schedule. The alternatives are Publish to post immediately or Finish later to save a draft.
The mobile app has its own version of this flow, which Meta documents separately for posts and stories. This guide sticks to desktop, where weekly batch planning is easiest.
Managing what you have scheduled
Plans change, so it helps to know where scheduled posts live. In Meta’s description, you click Content in the left menu and open the Posts & reels tab. Content is organised by status: Published, Scheduled, Drafts, Expiring and Expired. Select a post, click the … icon, then choose Manage post. Depending on the post’s status, the options include Edit post, Reschedule post, Move to drafts and Delete post.
Meta’s best-practices page adds two time-savers: duplicating a post you already created, and saving content as drafts so you can return to it later. You can also delete content straight from its date on the calendar.
A simple weekly content-calendar workflow
Meta’s tools do not prescribe a routine, so the workflow below is a suggestion built on the features described above. Adjust it to your capacity. The aim is one planning session per week instead of daily scrambling.
| When | Task | Where in Meta Business Suite |
|---|---|---|
| Monday, 20 minutes | Look at what performed, then decide this week’s 3 to 5 topics | Insights, then the Planner |
| Monday or Tuesday, 60 minutes | Write captions, gather images, build each post | Create post |
| Same session | Schedule each post at a chosen time; save unfinished ones | Scheduling options, Finish later |
| Friday, 10 minutes | Check the weekly view for gaps; plan next week’s themes | Planner weekly or monthly view |
Step 1: Review before you plan
Meta says its insights show trends, activity on the content you share and information about your audience. Look at which recent posts drew the most response before choosing new topics. For ideas on what to measure, see our guide to content marketing metrics.
Step 2: Give each day a job
A small business rarely needs a post every day. Assign a purpose to each slot instead: one helpful tip, one product or service highlight, one behind-the-scenes or customer-focused post, and one question or poll idea. A recurring structure makes the weekly session faster because you only fill in the details. If you are still setting direction, our social media marketing goals guide can help you decide what each post type should achieve.
Step 3: Batch the creation
Create all the posts in one sitting. Because you can customize the text for Facebook and Instagram, adapt the caption to each platform instead of pasting identical copy. Use Active times as a starting point for timing, bearing in mind it only reflects the last 7 days of follower activity.
Step 4: Leave room for the unplanned
Scheduled content should not crowd out real-time replies. Meta’s Inbox brings messages and comments from your Page, Messenger, Instagram and WhatsApp Business account into one place. Set aside a few minutes each day to answer them, and keep an empty slot or two in the week for news, offers or questions that come up.
Step 5: Share the load, if you have help
Meta notes that you can assign access to people who create content, then review in the Planner what has been scheduled or published. If a colleague drafts posts, you can review the calendar once a week rather than approving each item in a chat thread.
Trade-offs and common mistakes
- Scheduling and forgetting. A post set weeks ago can look out of place after news or an outage. Glance at the Scheduled tab before big events and use Reschedule post or Move to drafts when needed.
- Identical copy everywhere. Facebook and Instagram audiences differ. The option to customize text per platform exists for a reason.
- Ignoring permissions. If Create post or Schedule is missing, ask an admin to check that your role in the business portfolio lets you create content.
- Treating recommended times as rules. Active times is based on the past 7 days. Compare it with your own results over a longer period.
- Planning without a purpose. A full calendar is not the goal. Posts should serve an objective such as building an audience, as discussed in our piece on growing Facebook Page likes.
Scheduling limits to check yourself
Third-party articles often quote how far ahead you can schedule, or exact caps on scheduled items. Meta’s help pages on the Planner and on creating posts do not state such a figure, so treat those numbers with caution. Meta also says its Moments feature, which surfaces upcoming important dates, is currently available only for businesses based in the U.S. Before relying on any limit, look at the date picker in your own account or search Meta’s Business Help Center.
Key takeaways
- Meta Business Suite is free to use and includes the Planner, a weekly and monthly calendar for Facebook and Instagram content.
- You need a business portfolio and a role that lets you create content.
- Schedule from Create post using Scheduling options, and manage posts from Content, then Posts & reels.
- One weekly session (review, plan, batch-create, schedule) is enough for most small businesses.
- Keep time for replies and check the calendar before major events.
